Hallam Internet is a leading UK digital marketing agency delivering ethical digital marketing services such as SEO, PPC, social media and email marketing.
Hallam had been using standalone software and spreadsheets to manage their projects, deliverables and staff. Recognising that their system was becoming outdated, they looked to implement a cloud-based CRM platform, to improve performance and increase automation.
A complete Podio CRM system was created. We made use of Globiflow for some automated processes, alongside bespoke scripts using the Podio API to assist in the management of deliverables and gathering metrics. Multiple workspaces were created to provide separation between departments, as well as an intranet area for general communication.
The creation of project deliverables became fully automated, as was the process of converting sales into live projects. Reports are used to assist with resource management. Monthly metrics are stored for regular reviews.

Stanbrook and Nicholson specialises in high-quality, bespoke windows, doors and roof lanterns. Having achieved national recognition for their specialist craftsmanship and expert manufacturing of bespoke timber and aluminium joinery, they are now viewed as one of the leaders in their field. They have both a factory and showroom in Surrey, and work in properties across the county and beyond.
With high aspirations, Stanbrook and Nicholson knew that it would be imperative to have reliable, robust and scalable business systems in place, which are easy to use. This included CRM and project tracking, ensuring processes are easy to follow and no opportunity is missed. The company got in touch with Oval to discuss their options and priorities, and to ascertain the suitability of Podio for the task.
Oval built a system that allows Stanbrook and Nicholson to handle all their business process management stages within Podio. A typical project journey covers nine milestones, including initial quote, survey, production, invoicing, installation and feedback. A number of automated steps have been integrated within the Podio apps, to limit the amount of repeated effort required to track jobs.
We are now working with Stanbrook and Nicholson on a second phase of development, which will see them encompassing more detail into Podio. This will inevitably make their businesses processes more streamlined, efficient and trackable, and provide an even better platform on which to base their ambitious plans for growth.
FLI has been designing and fabricating steel structures for over 70 years. Having started life in the telecoms sector, they have now grown onto three sites and expanded into the rail, highways, nuclear, wind energy and construction markets.
Historically, FLI had relied heavily on Excel spreadsheets and physical paperwork to keep track of company orders. FLI were looking to migrate their procedures into Podio to help organise and improve their workflows from sales enquiries through to production and project completion.
A combination of Globiflow and some separate API work was carried out to migrate FLI's procedures into Podio. Globiflow automates many tasks to assist in the setup of new enquiries, while also saving the company hours of work by creating consistently formatted PDF job schedules and order sheets; this negates the need to copy and paste work across multiple spreadsheets. The Podio items are also easily visible by each member of the sales team for editing, and the production team also have better visibility of impending jobs.
As the UK's largest property services group, Countrywide operates in over 1,200 locations across more than 50 brands. With unparalleled coverage of the UK property market, they are uniquely placed to support their customers across the residential and commercial property markets.
The Countrywide marketing departments were looking to simplify their process flow from requests for marketing material through to design, sign-off and delivery. They wanted to be able to quickly and easily view staff workloads on a daily basis, allowing the management team to reallocate work as necessary, to prevent bottlenecks.
We used Podio to create a simple architecture, as well as using Globiflow automation, allowing work to managed and allocated to staff easily. Reports allow the management team to review staff workloads and project status.
BAMM is a global insight agency based in New York and London. By using many different qualitative research techniques, they help multinational clients see more opportunities for their brands, using an approach that's informed by ethnographic principles and a commitment to tapping into ‘real’ situations over artificial environments.
BAMM had already been using Podio and Globiflow for a while, but felt they had reached their knowledge limit, and were seeking help to improve their processes and automation.
We restructured BAMM's applications to minimise the incidence of repeated information, along with the visibility of unnecessary data. They had a requirement to produce weekly reports on the status of active projects, and to see what had changed on those projects; from there, the company also decided to automate the generation of further reports, including invoicing and forecasting.
